What Is an Export Quotation Format?
An export quotation is the first formal document in any international trade deal. When an overseas buyer enquires about your product, the quotation tells them exactly what you are offering: product details, quantity, unit price, the Incoterm that defines who pays for freight and insurance, payment terms, ports, lead time, and how long the offer stays valid. A clear, professional export quotation format signals to the buyer that you are a serious exporter — and a vague one is often where deals quietly die.

A complete export quotation includes your company and buyer details, a quotation number and date, product descriptions with quantities and unit prices, the currency, the Incoterm with a named port (for example CIF Jebel Ali), ports of loading and discharge, payment terms, lead time, validity period, and an authorised signature. Adding product photos, packing details with CBM, and certifications makes it stronger.
A quotation is your offer — it opens the negotiation. A proforma invoice comes after the buyer broadly agrees: it confirms the order details and is commonly used by the buyer to arrange advance payment, open a letter of credit, or apply for an import permit. The two documents look similar, but the proforma carries more commitment.
It depends on how much of the shipping you want to handle. New exporters often start with FOB (you deliver loaded on the vessel; the buyer arranges freight and insurance) or CIF (you also arrange freight and insurance to the destination port).
